Overview
The Trip Breakdown DocType is part of the VSD Fleet Management System (VSD Fleet MS). It is used to manage, track, and document any trip interruptions or breakdowns for vehicles in the fleet. This form enables users to log breakdown events, specify breakdown locations, link the incident to the affected trip, and manage the resumption of the trip.
Accessing the Trip Breakdown Form
Log in to the VSD Fleet Management System.
Navigate to the Trip Breakdown section under the VSD Fleet MS module.
You can create new records or view existing trip breakdown entries from the list view.
Field Overview
The Trip Breakdown form contains the following fields:
1. Date (Required)
- Description: The date when the breakdown occurred. This field is automatically set to read-only after creation to preserve the record.
2. Breakdown Trip (Required)
- Description: This field links to the Trips DocType and allows the user to specify which trip the breakdown occurred on. It is read-only after creation to prevent changes.
3. Breakdown Location
- Description: Enter the location where the trip breakdown occurred.
4. Description
- Description: Provide a description of the breakdown incident. This could include details such as the cause of the breakdown, any damage sustained, and initial actions taken.
5. Resumption Trip
- Description: This field links to a new trip document created to resume the trip after the breakdown is resolved. This field is automatically updated when the user resumes the trip.
6. Status (Required)
Options:
Not Re-Assigned
Re-Assigned
Description: This field tracks the status of the breakdown and whether it has been re-assigned for resumption. The default is Not Re-Assigned, and it is updated to Re-Assigned when the trip is resumed.
Form Workflow
1. Creating a New Trip Breakdown Entry
- Click the New button in the Trip Breakdown list view to create a new breakdown entry.
Fill in the following fields:
Date: The current date will be auto-filled, or you can select the date of the breakdown.
Breakdown Trip: Select the trip from the Trips DocType that was affected by the breakdown.
Breakdown Location: Provide the location where the trip breakdown occurred.
Description: Provide additional details about the breakdown event.
Once all mandatory fields are completed, click Save to create the record.
2. Handling Trip Resumption
Once the breakdown has been resolved and the trip is ready to resume, a Resume Trip button will appear on the form if no resumption trip has been created.
Click the Resume Trip button. This will:
Create a new trip document to resume the interrupted trip.
Automatically populate the Resumption Trip field with the new trip's reference.
Update the Status field to Re-Assigned.
The user will be redirected to the new trip document to manage the resumed trip.
3. Viewing and Managing Trip Breakdowns
You can filter and sort the list view by the Date, Breakdown Trip, and Status fields to track breakdown incidents and their status.
Once a breakdown is resolved and a resumption trip has been created, the Status field will update to Re-Assigned and the Resumption Trip will be linked for easy access.
